The Problem
The ops team ran approvals across three disconnected tools. One handled intake, one managed review, and a shared inbox served as the routing layer. Every morning, someone pulled items from the first, checked status in the second, and manually forwarded to the right reviewer by email.
Two hours of this, every day. When reviewers were out or slow, nothing moved and nobody knew why. Approval cycle averaged 4 days.
When an approval slipped through a crack (and they did), there was no audit trail to find out who had seen it or what had happened.
Our Approach
- Built a unified intake pipeline that pulls from all three source systems on a schedule, with no manual export needed
- Custom routing engine applies business rules to assign each item to the right reviewer based on type, value, and availability
- Slack alerts notify reviewers of new assignments with full context, and no login is required to triage
- Human review queue with a clean web interface; each item shows everything the reviewer needs to decide, in one screen
- Full audit log on every assignment, review, and approval decision, exportable for compliance
